SWAN is seeking two detail-oriented Administrative Officers to support finance, data and office functions for our small, values-driven team, in a flexible, disability-inclusive workplace. This is a part-time, job-share role (3 days per week each) with the option to work from home or from our Busselton office.
About SWAN
The South West Autism Network (SWAN) is a not for profit, charitable Disabled Persons and Families Organisation supporting autistic people and their families across the south west of Western Australia. SWAN promotes acceptance and inclusion through information, peer support, advocacy, training and community connections. More than half our staff and Board are people with disability, and all have family members with disability.
The role
The Administrative Officer provides day-to-day administrative, finance and data reporting support to keep SWAN’s services and ILC project running smoothly. Key tasks include Client Records Management (CRM), managing payroll and invoicing, processing purchase orders and bills, and assisting with accounts reconciliation.
The role also includes DEX data entry and reporting for SWAN’s Information, Linkages and Capacity building (ILC) grant project, in line with funding and Data Exchange requirements. The Administrative Officer contributes to event and program administration, website and e-news updates, and general office support.
Key responsibilities include
- Payroll, invoicing, purchase orders, bill processing and basic accounts reconciliation.
- DEX data entry and reporting for SWAN’s ILC grant project, including timely entry of client and service delivery information.
- Data entry and client records management in Dynamics 365, including service records, subscriptions and calendars.
- Website and e-news updates, maintenance of training and events calendars, and simple promotional materials.
- General office administration, supplies, WHS reporting and basic support to staff and volunteers.
About you
You are detail-oriented with strong organisational skills and can balance competing priorities and deadlines. You have strong computer skills, especially Microsoft Office and databases, and are comfortable learning new online systems.
You communicate clearly, are friendly and approachable, maintain confidentiality and work well both independently and as part of a small team. You are committed to inclusion and can work respectfully with people with disability and people from diverse backgrounds.
Requirements and desirable skills
A current Working With Children Check and National Police Clearance (or willingness to obtain) are required. SWAN particularly welcomes applications from autistic people and other people with disability and will work with you on reasonable workplace adjustments.
Experience with payroll/accounts, Xero, Dynamics 365, DEX Data Exchange and Canva or similar design tools is highly desirable, as is a current Senior First Aid Certificate. Familiarity with grant-funded reporting environments or ILC-style projects will be highly regarded.

- Hours: 3 days per week (22.5 hours), job-share, with flexible working arrangements (to be determined with the two successful applicants).
- Location: Flexible – work from home, Busselton office, or as directed by the CEO.
